Zoho Books includes autoscan on every plan: 50 scans a month on Free, 200 on Standard and Professional, and 1,000 on Premium and above. Past the allowance, Zoho sells Document autoscans packs at $10 for 50 a month ($8 billed annually), and purchased scans expire after three months. Above roughly 450 bills a month, a Premium upgrade beats buying packs, and above 1,000 there is no bigger allowance at any price. Autoscan works well inside its allowance. The trouble starts when bill volume grows faster than the plan, because the caps are flat across tiers and the extra capacity is sold in small packs.
Standard and Professional both stop at 200 autoscans a month. A business paying $50 a month for Professional gets the same scan allowance as one paying $20 for Standard.
Premium, Elite and Ultimate all include 1,000 scans. Moving from $70 to $275 a month buys more users and features, not one extra scan.
Extra scans come in packs of 50 at $10 a month, and Zoho removes unused purchased scans three months after they are issued.
Vendors send catch-up invoices and statements late in the month, which is exactly when the allowance has already been spent.
The Import Bills route that avoids scanning takes CSV, TSV or XLS files no larger than 1 MB, so a large month has to be split.
Everything below comes from Zoho's US pricing page, its plan comparison and its help center, read in October 2026.
Autoscan is on by default for all Zoho Books organizations. Every document emailed or uploaded to the Documents Inbox is read automatically.
The Document autoscans add-on is $10 per 50 scans a month, or $8 billed annually. It is the only add-on the Free plan can buy.
Purchased autoscans stay available for three months from the issue date. Anything unused after that is removed.
Autoscan reads English, Spanish, French, German, Portuguese, Italian, Dutch and eight more languages. Unsupported languages come back Unreadable.
Bills can also arrive by Import Bills in CSV, TSV or XLS, up to 1 MB per file, with no scan meter involved.
BillPay at $69 a month adds ACH payments, approvals and PO matching alongside autoscan. Zoho does not publish how many scans it includes.
Four steps turn the allowance table into a monthly number you can budget.
Pull the number of vendor bills and receipts that reached the Documents Inbox last month, and the busiest month of the past year.
Free covers 50, Standard and Professional 200, Premium and above 1,000. Subtract to see how many scans you would buy.
Each 50 extra scans costs $10. Past about 300 on Professional or 450 on Standard, Premium at $70 is cheaper.
Run your five densest invoices through autoscan and a line item extractor, compare the rows, then pick the route.
The allowance by plan, the pack price, the expiry rule, the break-even point for Premium and what the same volume costs outside Zoho.
You are on Standard or Professional and the allowance runs out before month end. You need to know whether packs or Premium is cheaper.
Your bills carry long item tables and volume passes 1,000 a month, where Zoho has no larger allowance.
Each client organization has its own allowance and its own packs. You want one predictable cost across clients.
Subcontractor bills need every line coded to a job, and header capture alone does not finish the work.
Zoho Books autoscan costs nothing until you pass your plan's monthly allowance: 50 scans on Free, 200 on Standard and Professional, and 1,000 on Premium and above. Past that, Zoho sells a Document autoscans add-on at $10 for 50 scans a month, or $8 billed annually, which works out to $0.20 or $0.16 per extra scan.
Those are the US prices on zoho.com/us, before tax. The base plans themselves are priced per organization: Standard is $20 a month ($15 billed annually), Professional $50 ($40), Premium $70 ($60), Elite $150 ($120) and Ultimate $275 ($240). The Free plan is limited to businesses with under $50,000 in revenue for the financial year. Autoscan is the only add-on Zoho lets a Free organization buy. The pricing page says so directly: "Add-ons are not supported in the FREE plan, except for Document autoscans."
| Zoho Books plan | Monthly billing | Billed annually | Autoscans included a month | Users |
|---|---|---|---|---|
| Free | $0 | $0 | 50 | 1 plus an accountant |
| Standard | $20 | $15 | 200 | 3 |
| Professional | $50 | $40 | 200 | 5 |
| Premium | $70 | $60 | 1,000 | 10 |
| Elite | $150 | $120 | 1,000 | 10 |
| Ultimate | $275 | $240 | 1,000 | 15 |
| Document autoscans add-on | $10 per 50 | $8 per 50 | 50 more per pack | n/a |
One naming detail trips people up. The plan comparison lists the allowance as "Receipt autoscans", while the add-on is called "Document autoscans". Zoho's help center describes a single pool: every document uploaded or emailed into the Documents Inbox is autoscanned, and "once the free scans are used up, you will have to purchase an add-on (50 autoscans per month) to continue autoscanning documents." In practice, vendor bills and expense receipts draw from the same monthly count.
You get 50 autoscans a month on the Free plan and during a trial, 200 a month on Standard and Professional, and 1,000 a month on Premium, Elite and Ultimate. Zoho asks organizations that need a higher limit to contact its US support team, and otherwise sells extra capacity in packs of 50.
For most small businesses, the included number is enough. A company paying 120 vendor bills a month on Standard will never see the cap. The allowance only becomes a budgeting question when bill volume crosses 200 a month on the two lower paid tiers, or 1,000 a month on the upper ones. That tends to happen at a distributor, a multi-location restaurant group, a construction firm with many subcontractors, or a bookkeeping practice that runs several client organizations on one subscription each.
When the allowance runs out, documents still land in the Documents Inbox, but Zoho stops reading them automatically until you buy a Document autoscans pack or the next month's allowance arrives. You can keep entering those bills by hand, which is exactly the work autoscan was meant to remove.
Month end is when this hurts. Vendors send statements and catch-up invoices in the last week, the allowance is already spent, and the person closing the books has a choice between buying packs on the spot and typing the rest. Neither is a disaster at 20 extra bills. At 300 extra bills it is a real line on the software budget or a real afternoon of keying.
Yes. Purchased autoscans expire. Zoho's knowledge base says "the autoscans you purchased will be available for three months from the issuing date," and that "any unused autoscans carried forward for three months will be removed from your account." You cannot stockpile cheap packs in a quiet month for a busy quarter end.
The three-month window is more generous than tools that reset unused bundles every month, but it still means sizing packs to real volume. If your bill count swings with seasons, buy for the next eight to ten weeks, not the next year.
Upgrading to Premium is cheaper than buying packs once you pass about 300 scans a month on Professional or about 450 a month on Standard, using monthly prices. Premium costs $70 and includes 1,000 scans, while each extra 50 scans on a lower plan costs $10.
The table uses monthly billing and only counts the autoscan cost. Premium also brings fixed assets, budgets, a vendor portal and ten users, which may be worth paying for anyway. If you would never use those, the upgrade is still the cheaper way to buy scans above the break-even point.
| Bills scanned a month | Standard plus packs | Professional plus packs | Premium plus packs |
|---|---|---|---|
| 200 | $20 | $50 | $70 |
| 300 | $40 (2 packs) | $70 (2 packs) | $70 |
| 450 | $70 (5 packs) | $100 (5 packs) | $70 |
| 1,000 | $180 (16 packs) | $210 (16 packs) | $70 |
| 2,000 | $380 (36 packs) | $410 (36 packs) | $270 (20 packs) |
Above 1,000 bills a month there is no higher Zoho tier with a bigger allowance. Elite and Ultimate also stop at 1,000. Every 50 bills past that costs another $10 a month, so 2,000 bills on Premium is $270 a month, and 3,000 is $470.
BillPay is a separate $69 a month add-on ($59 billed annually) that bundles Document autoscans with 100 ACH vendor payments, purchase approvals, vendor onboarding, PO matching of scanned bills, two-way and three-way matching and batch payments. Zoho does not state how many autoscans the bundle includes, so ask before you count on it.
If what you actually need is approval routing and payment runs, BillPay may be the better buy. If you only need more bills read, the plain autoscan packs or a plan upgrade are cheaper.
Zoho says it does. Its help page states that documents "will be autoscanned accurately, and the line item details will be extracted quickly," and lists date, amount and merchant name as the captured fields. Test your densest vendor invoices before relying on it for job costing or inventory.
Header capture is where every built-in scanner is strongest. The hard cases are a 40-line distributor invoice, a utility bill with several service addresses, or a subcontractor bill with retainage and change orders. Zoho also lists the failure state plainly: a document is marked Unreadable when data is illegible, the image cannot be interpreted, or the language is not supported. Autoscan covers 15 languages: English, Spanish, French, German, Portuguese, Italian, Dutch, Swedish, Danish, Norwegian Bokmal, Russian, Chinese, Malay, Thai and Vietnamese.
If you need every line on every bill, an invoice line item extraction tool returns the table rows as columns you can check before anything is posted.
Zoho Books imports bills from a CSV, TSV or XLS file under Purchases, Bills, Import Bills. Download Zoho's sample file for the column layout, map your columns, and keep each file under 1 MB, because Zoho's help states that "the file size cannot be more than 1 MB" for bill imports.
The 1 MB ceiling matters at volume. A CSV with full line detail for 2,000 bills can pass it, so split the month into weekly files. The import uses UTF-8 and a comma delimiter by default. This route has no per-scan meter at all: you extract outside Zoho, review the file, and import it in one step. It suits teams that already upload invoices in bulk or receive consolidated vendor PDFs.
Two adjacent jobs are worth keeping separate. Employee expense receipts are a different workflow from vendor bills, and a dedicated receipt scanning app handles those better than an AP tool. And once bills are posted, matching them to cleared payments at month end is a reconciliation job, where bank reconciliation software saves more time than any capture feature.
At 300 bills a month, staying inside Zoho costs $40 to $70 and is the simplest choice. At 1,000 bills, Premium at $70 is hard to beat if header capture is enough. At 2,000 bills or when every line item matters, a flat-priced extractor is cheaper and returns full line detail.
| Route | 300 bills a month | 1,000 bills a month | 2,000 bills a month | How bills reach Zoho |
|---|---|---|---|---|
| Zoho autoscan, cheapest plan mix | $40 to $70 | $70 (Premium) | $270 (Premium plus 20 packs) | Native, inside Zoho |
| Dext business plan | Entry tier covers 250 documents at $25.21 billed yearly; higher tiers on a slider | Higher tier, quoted on Dext's slider | Higher tier, quoted on Dext's slider | Publishes to Zoho Books through Dext's integration |
| InvoiceExtractor | $49, or $24 billed yearly (Starter) | $49, or $24 billed yearly (Starter, 2,500 pages) | $49, or $24 billed yearly (Starter, 2,500 pages) | CSV or Excel through Import Bills |
The comparison has honest limits. Zoho's own capture lives inside the books, with no file to move, and for many businesses that convenience is worth more than the price difference. Dext adds a mobile app, supplier rules and multi-client dashboards, and its line item extraction is a separate meter covered on our Dext pricing page. InvoiceExtractor counts pages, so a three-page bill uses three pages of the allowance, and it has no native Zoho connector: you review a CSV and import it. Starter allows up to 25 pages per document; Plus at $149 a month ($74 billed yearly) covers 10,000 pages with no per-document page limit.
Teams on Xero face the same decision with a different native scanner. Our comparison of Xero Smart Document Capture vs Dext pricing runs the numbers for that side. The full plan list is on our pricing page.
Stay on Zoho autoscan if you process fewer than 200 bills a month, or fewer than 1,000 on Premium, and you code each bill to one or two accounts. Look elsewhere when volume passes 1,000, when bills arrive as consolidated multi-invoice PDFs, or when every line needs to land in its own row.
Autoscan is included up to your plan's allowance, then costs $10 for each pack of 50 scans a month, or $8 billed annually. That is $0.20 or $0.16 per extra scan. The US plans themselves run from $20 a month for Standard to $275 for Ultimate, before tax.
The Free plan and trials include 50 autoscans a month, Standard and Professional include 200, and Premium, Elite and Ultimate include 1,000. Zoho asks organizations that need a higher limit to contact its US support team, and otherwise sells extra scans in packs of 50.
It is included at no extra charge up to the monthly allowance on every plan, including Free. Once that allowance is used, Zoho stops reading new documents automatically until you buy a Document autoscans pack at $10 per 50 or the next month's allowance arrives.
Yes. Zoho's knowledge base says purchased autoscans are available for three months from the issuing date, and any unused autoscans carried forward for three months are removed from your account. Buy packs for the next eight to ten weeks of volume rather than stockpiling.
Yes. Document autoscans is the one add-on Zoho allows on the Free plan. The pricing page states that add-ons are not supported in the Free plan except for Document autoscans, so a Free organization can add packs of 50 at $10 a month.
Zoho's help page says line item details are extracted, alongside date, amount and merchant name. Accuracy on dense invoices is not published, so test your longest vendor bills first. Documents that cannot be read are marked Unreadable and need manual entry.
Autoscan supports 15 languages: English, Swedish, Spanish, Portuguese, Dutch, Italian, French, German, Danish, Chinese, Norwegian Bokmal, Russian, Malay, Thai and Vietnamese. A bill in any other language is marked Unreadable and has to be keyed by hand.
Above 1,000 bills a month, a page-based extractor that exports CSV for Zoho's Import Bills is usually cheaper than stacking $10 packs, and returns every line item. InvoiceExtractor Starter covers 2,500 pages for $49 a month, or $24 billed yearly.
