Refund Policy

Last Updated: October 18, 2026

The short version. Every InvoiceExtractor payment is final. A refund is issued only in the three situations described in section 3. The first extraction runs without an account, so you can see exactly how your own invoice comes back before you pay, and you can cancel a subscription at any time from your account.

1. Payments are final

An InvoiceExtractor plan is a monthly or yearly subscription that gives access to the software for the billing period, with the page allowance and features listed on our pricing page. We do not sell credits and do not bill per use. Access for the whole period is granted the moment the period starts, so the fee is for that access, whether you process one page or your full allowance.

The service is delivered as described on the pricing page, and the free first extraction lets you judge the output on a real document before paying. When you subscribe, you ask us to start providing the service straight away and you accept that any statutory right of withdrawal or cooling-off period ends once the service has started.

2. Situations that are not refunded

None of the following entitles you to a full or partial refund:

  • Changing your mind or no longer needing the tool.
  • Processing few or no pages during a paid period.
  • A renewal charged automatically, including one collected after earlier failed attempts.
  • Assuming a plan was a one-time payment. Every plan is a recurring subscription, as stated on the pricing page, at checkout, in the confirmation email and in your account.
  • Forgetting to cancel before the renewal date, or cancelling right after a renewal.
  • Disagreeing with how a field, line item or total was read from a document. AI extraction depends on the quality and layout of the source file.
  • A document that is unreadable, damaged, password protected or not an invoice.
  • A feature you expected that is not described on the pricing page.
  • Choosing the wrong plan or billing period.
  • The unused part of a period after you cancel. Access runs to the end of the paid period and is never pro-rated.
  • Use of your account by someone you shared your login with.

3. When we do refund

A refund is granted only when one of these applies, only when the transaction and account records support it, and only up to the affected charge:

  • Duplicate charge. A fault in our billing charged you twice for the same period.
  • Proved unauthorised charge. Your card was used without your permission, you tell us within 14 days of the charge, and our records and those of our payment processor confirm it. We may ask you to confirm that the card issuer has been informed.
  • Total failure of service. A confirmed fault on our side left the service completely unusable for a continuous period, you reported it to us while it was happening, and we could not fix it. Slow processing, partial issues and problems with your own device, browser, network or files do not count.

An approved refund is limited to the amount actually paid for the affected period, goes back to the original payment method, and is our full and only liability for that charge.

4. How to ask

Email [email protected] from the address on your account within 14 days of the charge, with the date and amount of the payment and the reason under section 3. Requests made later are not considered. We review requests in the order they arrive and do not reopen declined requests.

Opening a chargeback with your bank instead of contacting us first breaches our Terms of Service and leads to the account being closed permanently.

5. Renewals and cancelling

Subscriptions renew automatically until cancelled. You can cancel at any time under Manage subscription in your account, without contacting us. Cancelling stops every later renewal straight away, and you keep your plan until the end of the period already paid for. Cancelling is not a refund request.

When a new period begins, access for that period is granted and its payment is due. If the card is declined, our payment processor retries the same unpaid invoice over the following days. These retries are not extra charges. Cancelling during that time stops future renewals but does not cancel the amount already due for the current period.

6. Records we keep

By creating an account you accept our Terms of Service, which include this Refund Policy, and our Privacy Policy. Checkout shows the plan, the price, the billing period and the automatic renewal before payment, and the confirmation email repeats them.

For each subscription we keep the time of purchase, the plan and price shown at checkout, your acceptance of the terms, the emails sent to you and a log of account activity such as sign-ins, uploads, extractions and exports. Our payment processor keeps its own record of each payment, including the card country and the result of bank authentication such as 3D Secure. Refund and chargeback cases are assessed against these records.
