Short answer: Zoho Books already scans invoices on every plan through autoscan, with 50 scans a month on Free, 200 on Standard and Professional and 1,000 on Premium and above. For most small businesses that is the right app and it costs nothing extra. A separate scanning app earns its keep in two cases: when monthly bill volume passes your allowance by a wide margin, or when every line item has to land in its own row. At 1,500 bills a month, staying inside Zoho costs $170 a month on Premium, while a flat extractor that exports a CSV for Zoho's bill import costs $49, or $24 billed yearly.
This comparison is for US bookkeepers, controllers and small AP teams who run Zoho Books and need to decide how vendor bills get in. Every Zoho figure comes from zoho.com/us and the Zoho Books help center as read in October 2026, in US dollars before tax. If you want to see line item output on one of your own bills first, drop it into the tool at the top of this page.
Does Zoho Books have an invoice scanner?
Yes. Zoho Books includes autoscan on every plan. Bills and receipts you upload or email to the Documents Inbox are read automatically, and the captured date, amount and vendor fill in a new bill or expense for review. The monthly allowance is 50, 200 or 1,000 scans depending on the plan.
Vendors can email documents straight to your Zoho Books address, which is the habit worth building first. Zoho also suggests matches against bills you have already entered, so a scanned PDF can attach to an existing transaction instead of creating a duplicate. When a document cannot be read, it is marked Unreadable, which Zoho says happens with illegible data, images it cannot interpret, or a language outside the 15 it supports.
Zoho Books invoice scanning apps compared
Three routes are realistic for a US business on Zoho Books. The first is the scanner you already pay for. The second is Dext, which announced a Zoho Books integration with global availability in January 2025 and publishes bills through it. The third is an extraction tool that reads every line and hands you a file for Zoho's Import Bills screen.
| Route | Published price | How bills reach Zoho | Line items | Best for |
|---|---|---|---|---|
| Zoho Books autoscan | Included up to 50, 200 or 1,000 a month, then $10 per 50 | Native, no file to move | Zoho says yes; test dense bills | Under 1,000 bills a month, simple coding |
| Dext | Business from $25.21 a month billed yearly for 250 documents | Publishes through the Zoho Books integration | Separate meter past a free allowance | Practices with many clients and mobile capture |
| InvoiceExtractor | $49 a month, or $24 billed yearly, for 2,500 pages | CSV or Excel through Import Bills | Every line, no extra meter | High volume and line-heavy bills |
The full plan-by-plan allowance, the break-even point for a Premium upgrade and the pack expiry rule are on our Zoho Books autoscan pricing page. Dext's practice and business rates, including what each line item document costs, are on the Dext pricing page.
How much does Zoho Books invoice scanning cost at real volumes?
At 150 bills a month, Zoho's own scanning costs nothing extra on Standard. At 600 bills it costs $70 on Premium, the cheapest way to cover that count. At 1,500 bills it costs $170, because Premium stops at 1,000 scans and each extra 50 is $10. A flat extractor stays at $49 across all three.
| Bills a month | Zoho autoscan, cheapest plan | InvoiceExtractor plus Zoho Standard |
|---|---|---|
| 150 | $20 (Standard, inside the 200 allowance) | $69 ($20 plus $49) |
| 600 | $70 (Premium) | $69 ($20 plus $49) |
| 1,500 | $170 (Premium plus 10 packs) | $69 ($20 plus $49) |
These are monthly-billing prices. The extractor column assumes single-page bills on the Base AI model, since our plans count pages, so a three-page invoice uses three pages of the 2,500. It also assumes the Standard plan is enough for everything else you do in Zoho. If you need Premium features anyway, the native route at 600 bills is effectively free and the decision only changes past 1,000.
One rule shapes the math. Zoho's knowledge base says purchased autoscans "will be available for three months from the issuing date," and unused ones are removed after that. Packs bought for a busy quarter end cannot be saved for the next one.
Can Zoho Books read line items from an invoice?
Zoho says autoscan extracts line item details along with the date, amount and vendor, but it publishes no accuracy figure. Header fields are reliable on clean PDFs. Long item tables, multi-page bills and scans with stamps or handwriting are where you should test before trusting it for job costing or inventory.
A practical test takes twenty minutes. Pick the five vendors whose invoices you dread: the distributor with 40 lines, the utility with several service addresses, the subcontractor with retainage. Run them through autoscan and through an invoice line item extraction tool, then compare quantity, unit price and extended amount on every row. The tool that gets the rows right on your worst five is the one to use on the rest.
What is the best app to scan invoices into Zoho Books?
For most US businesses under 1,000 bills a month, the best app is Zoho's own autoscan, because it is native and already paid for. For accounting practices juggling many client organizations, Dext is the stronger fit. For high volume or line-heavy bills, a flat extractor that exports a CSV for Import Bills is the cheapest complete option.
- Choose Zoho autoscan when bills are mostly single-account expenses, volume sits inside your allowance, and nobody wants another login.
- Choose Dext when you are a bookkeeping firm with dozens of clients, you want supplier rules and a mobile app for client uploads, and per-client pricing fits your fee model.
- Choose a flat extractor when you process more than 1,000 bills a month, receive consolidated vendor PDFs, or need every line as its own row for job costing or inventory.
How do I import scanned invoices into Zoho Books as bills?
Go to Purchases, then Bills, then Import Bills, and upload a CSV, TSV or XLS file. Download Zoho's sample file first so your columns match, keep each file under 1 MB as Zoho requires, and review the field mapping before confirming. Bills then appear in Zoho exactly as if they had been keyed.
The 1 MB limit is the detail that catches people at volume. A month of line-level bills can exceed it, so split the export into weekly files. If vendors send one PDF containing many invoices, process the whole file with bulk invoice upload and export once. Zoho's import defaults to UTF-8 encoding and comma delimiters, which is what a standard CSV export already uses.
Once the month's bills are in and paid, the closed books feed the reports your owners and lenders ask for, and you can turn the bookkeeping export into financial statements without rebuilding them in a spreadsheet.
Do I still need Zoho autoscan if I use a separate scanner?
Usually yes, for receipts and low-volume bills. Autoscan stays useful for the stray receipt or one-off invoice a manager forwards from a phone. Many teams keep it for those and send recurring, high-volume or line-heavy vendors through the extractor and the monthly import.
Splitting by vendor works better than splitting by date. Pick the ten vendors that make up most of your line items and route them through extraction. Leave everyone else on autoscan. That keeps you inside the free allowance on the native side and keeps the import files small enough for the 1 MB limit.
The bottom line on Zoho Books invoice scanning
Start with what you have. Under 200 bills a month on Standard or Professional, or under 1,000 on Premium, Zoho's autoscan covers you at no extra cost. Past those points, compare a Premium upgrade, Dext and a flat extractor using your own volume and your five hardest bills. Teams running Xero face the same choice with a header-only scanner, covered in our comparison of Xero invoice scanning apps.
