Short answer: Xero Smart Document Capture costs nothing extra, and Dext does not. Smart Document Capture is included on every US Xero small business plan (Early $27, Growing $59, Established $97 a month at list price) and now reads line items, credit notes and tax. Dext costs a practice $207.99 a month for the 10-client minimum on Essentials, and a single business $25.21 a month billed yearly, with line items metered at $0.50 a document past a small allowance. For a Xero-only business with ordinary bills, the built-in tool is enough. Dext still earns its price for practices that manage many clients across more than one ledger.
Xero switched Smart Document Capture on across most markets, the US included, on July 1, 2026, and renamed the Files area to Documents on September 18. That changed the math for every bookkeeper who pays Dext to feed Xero files. Below are both price structures in US dollars, read from xero.com and from Dext's own US price feed in October 2026, three worked examples, and the jobs neither tool is built for. You can test one of your own supplier bills in the tool at the top of this page.
Xero Smart Document Capture vs Dext pricing side by side
| Xero Smart Document Capture | Dext | |
|---|---|---|
| Price | Included in the Xero plan, no add-on fee | Practice from $207.99 a month for 10 clients; business from $25.21 a month billed yearly |
| What you pay for underneath | Xero Early $27 (5 bills a month), Growing $59, Established $97 | Your ledger subscription, separately |
| Line items | Included, multi-line itemised extraction | Free allowance, then $0.50 a document or bundles from $8.20 for 20 |
| Bank statements | Announced, not yet live | $0.32 a document or bundles from $5.20 for 20 |
| Ledgers | Xero only | Xero, QuickBooks, Sage and others |
| Ways in | Xero Accounting app, email forwarding, upload | App, email, upload, supplier fetch |
| Practice tools | Per organization; Xero HQ for the practice view | Client list, health scores, team workflows on Advanced |
The Xero column is short because there is nothing to buy. Xero's US product page answers the question of whether Smart Document Capture costs extra with a plain no, on whatever small business plan you are on. The one limit to watch sits in the plan, not the feature: Early allows 5 bills a month, so a business sending supplier bills through capture will need Growing at $59.
How much does Dext cost compared with Xero's free capture?
Dext charges practices per client and gets cheaper per client as the list grows. These are the Essentials totals Dext's own calculator returns for US practices, annual plan billed monthly, before tax. Advanced is $1.50 more per client at every count, and paying month to month adds about 15%.
| Clients | Dext Essentials a month | Per client | Extra over Xero's built-in capture, a year |
|---|---|---|---|
| 10 | $207.99 | $20.80 | $2,495.88 |
| 20 | $353.99 | $17.70 | $4,247.88 |
| 50 | $701.99 | $14.04 | $8,423.88 |
| 100 | $1,281.99 | $12.82 | $15,383.88 |
The last column is the real decision. Every client on Xero already has Smart Document Capture in their own file, so the Dext subscription is money spent on top of a capability the client has paid for. A practice should be able to name what that $4,248 a year buys at 20 clients before it renews. The full ladder from 10 to 500 clients, with every extraction bundle, is on our Dext pricing for accountants page.
What Dext still does that Xero capture does not
Dext is not just capture, and the honest case for it rests on four things. First, it works across ledgers: a practice with clients on QuickBooks Online, Sage and Xero runs one inbox instead of three methods. Second, it fetches documents from supplier portals and utilities without anyone forwarding them. Third, Advanced adds a client list with data health scores and team workflows, so a firm with several bookkeepers can see which clients are behind. Fourth, it extracts bank statements and reconciles supplier statements today, while Xero lists bank statement extraction as coming.
Xero is also closing the gap on its own timetable. Its September 2026 update added automatic tax extraction, credit note support, auto-matching documents to existing transactions and user permissions for upload-only staff. Supplier rules and a custom forwarding email address are next. Each release removes a reason a Xero-only firm had for paying Dext.
Three practices, three answers
| Practice | Xero Smart Document Capture | Dext | Better value |
|---|---|---|---|
| Solo bookkeeper, 8 Xero clients, ordinary supplier bills | $0 extra | $207.99 a month, billed for 10 clients | Xero |
| Firm with 20 Xero clients and 25 on QuickBooks Online | Covers the Xero half only | 45 clients, $643.99 a month on Essentials | Dext, for one workflow across both ledgers |
| Business on Xero Growing, 200 bills a month with lines | $0 extra on the $59 plan | $25.21 plus about $76 in line item bundles | Xero |
The middle row is the 45-client total Dext's calculator returns, $14.31 per client. The pattern holds at any size: Dext wins when the client list spans ledgers or needs team oversight, and loses when everything already lives in Xero.
Can Xero Smart Document Capture replace Dext?
Yes, for businesses and practices that work only in Xero and process bills one document at a time. Smart Document Capture reads the supplier, dates, totals, tax and line items, matches documents to bank transactions and creates the bill, at no extra cost. It cannot replace Dext for practices that need one capture workflow across QuickBooks, Sage and Xero, supplier fetch, or bank statement extraction today.
Before cancelling, run a month in parallel. Send the same bills through Xero's Documents inbox and through Dext, then compare how many fields each got wrong on your three ugliest suppliers. Xero itself says accuracy is highest on clear documents in standard formats, which is a fair warning for faded thermal receipts and long multi-page statements.
Where neither tool fits
Both products are built to publish one document at a time into a ledger after a person reviews it. That leaves three jobs where bookkeepers still end up typing.
Catch-up and cleanup work. A new client arrives with eight months of unentered bills in a shared drive. Reviewing 900 documents one by one in any capture inbox is slow. A bulk extractor reads the whole folder in one pass and writes a single file, which you check and then import. With InvoiceExtractor you can convert PDF invoices into a Xero bill import, line items included, and load the batch through Xero's own bill import.
Line detail outside the ledger. A restaurant client wants food cost by supplier and item in a spreadsheet, or an auditor wants every line of every bill from a vendor. Neither capture tool is built to hand you that table. Invoice line item extraction to Excel or CSV gives you the rows directly, with description, quantity, unit price and amount.
Ledgers neither tool reaches. QuickBooks Desktop has no OCR and is not connected to Xero's capture at all. We cover that route on our page about how to import invoices into QuickBooks Desktop with an IIF file.
Matching is the other half of the job. Once bills and bank lines are both in the books, firms with many accounts often move the monthly tie-out to dedicated bank reconciliation software rather than clicking through suggested matches one at a time.
What InvoiceExtractor costs for the same bills
InvoiceExtractor is priced by page, with no client count and no line item meter. Starter is $49 a month, or $24 billed yearly, for 2,500 Base AI pages, and Plus is $149 a month, or $74 billed yearly, for 10,000. Every page returns the header and every line as Excel, CSV, JSON, a Xero bill import or a QuickBooks file. It does not publish into Xero for you or manage a client list, so it sits next to Xero capture rather than replacing it: Xero for the daily trickle of bills, InvoiceExtractor for backlogs, line-level reports and the ledgers Xero does not reach.
If you are paying Dext mainly for line items on a few heavy clients, compare the three options on the same bill. Upload it at the top of this page, then check the table against what Dext and Xero returned. Rate cards for the other capture tools are on our Hubdoc alternative and AutoEntry pricing pages.
Frequently asked questions
Is Xero Smart Document Capture free?
It is included at no extra cost on every US Xero small business plan, so there is no add-on fee. You still pay for the Xero plan itself: $27 a month for Early, which allows only 5 bills, $59 for Growing and $97 for Established at list price.
Does Xero Smart Document Capture read line items?
Yes. Xero's July 2026 release added multi-line, itemised extraction for documents such as itemised receipts and rental statements, and the September update added credit notes and automatic tax extraction. Dext reads line items too, but meters them past a small monthly allowance.
Is Xero Smart Document Capture the same as Hubdoc?
No. Hubdoc is a separate capture product Xero bought in 2018 that reads header fields only and is still sold for $12 a month. Smart Document Capture is built into Xero's Documents area, powered by Xero's JAX assistant, and reads line items. See our Hubdoc pricing page for its limits.
Should I cancel Dext now that Xero has document capture?
Cancel if every client is on Xero, bills are handled one at a time and nobody relies on supplier fetch, bank statement extraction or Dext's practice dashboards. Keep it if your client list spans QuickBooks or Sage as well, because one capture workflow across ledgers is what the per-client fee buys.
