Hubdoc Alternative for Xero and QuickBooks Users Who Need Line Items

Hubdoc reads the supplier, date and total, then stops. If your bills need every line for job costing, inventory or split coding, the Hubdoc alternatives that read line items are Dext (from $25.21 a month billed yearly for business), AutoEntry ($13 to $469 a month in credits), Datamolino ($45 to $180 a month with lines) and InvoiceExtractor ($49 a month, $24 billed yearly, lines on every page). Why teams look for a Hubdoc alternative

Hubdoc is cheap and does its one job well. People leave when the job grows past a header.

No line items, and none planned

Hubdoc captures the supplier, date, total, invoice number and due date. A Xero community manager answered the 225-vote request for line items with: no further developments are planned.

Split coding is typed by hand

Supplier Rules code a whole bill to one account. A bill whose lines belong to three accounts, jobs or classes still needs someone to split it after Hubdoc publishes.

Inventory and job costs need the rows

Restaurants tracking food cost, contractors coding materials to jobs and distributors updating item costs all need quantity and unit price per line.

QuickBooks Online only

The Hubdoc QuickBooks connection covers QuickBooks Online. Businesses still on QuickBooks Desktop need another route for vendor bills.

The Xero plan sets the real limit

Hubdoc is included in Xero, but Early at $27 a month allows only 5 bills. Real bill volume means Growing at $59 or Established at $97.

No spreadsheet of the data

Hubdoc publishes into the ledger. An audit sample, a cost report or a client review in Excel needs an export Hubdoc was never built for.

What a Hubdoc alternative should give you

The four tools below all read line items. They differ in how they charge for them and where the data ends up.

Every line, not just the total

Description, quantity, unit price, line total and tax per row, so bills can be split, costed and checked without retyping.

A price you can predict

Some tools charge extra per document for lines. Count your multi-line bills before comparing the headline price.

A route into your ledger

Direct publishing to Xero or QuickBooks Online, or an import file such as a Xero bill CSV or a QuickBooks Desktop IIF file.

An export you can audit

Excel, CSV or JSON of the extracted bill, so a reviewer can tick lines against the PDF before anything posts.

Honest fit for small clients

For header-only bills Hubdoc is still the cheapest answer. The right alternative is the one that only costs more where the lines matter.

An API when volume grows

Firms that move bills between systems want a JSON endpoint, not another inbox to watch.

How to pick a Hubdoc alternative in 3 steps

Price the lines, not the logo.

1

Count multi-line bills

From last month, count bills that need their lines and the average number of lines on each. That is the work Hubdoc leaves for a person.

Tip: 300 bills with 8 lines each is 2,400 lines typed every month.

2

Price those bills on each tool

Line items cost 2 credits on AutoEntry, a separate line item plan on Datamolino and extra line item documents on Dext. On InvoiceExtractor they are included in the page price.

3

Test your worst bill

Upload a long supplier invoice in the tool above and check the line table against the PDF before you sign up anywhere.

Which Hubdoc alternative fits which buyer

There is no single best replacement. Here is the honest split by the kind of bills you handle.

Bookkeeping firms on Xero

Dext and AutoEntry publish into Xero for many clients at once. Keep Hubdoc for header-only clients and move the line-heavy ones.

Contractors coding materials to jobs

Every material line needs a job. A page-priced extractor avoids paying double per bill for the lines.

Restaurants tracking food cost

Food invoices carry 20 to 40 lines. The item, quantity and unit price per line are the whole point of capture.

QuickBooks Desktop businesses

Hubdoc does not connect to Desktop. An extractor that writes an IIF file gets bills into Desktop without retyping.

Hubdoc alternatives compared in US dollars

Hubdoc costs $12 a month on its own and nothing extra inside a Xero plan. Every alternative below costs more, and the only reason to pay it is the data Hubdoc does not read: the line items. So the useful comparison is what each tool charges for a bill with its lines, where the data goes afterward, and who the pricing model was built for. Prices are list prices from each vendor's US pricing page, read in October 2026, before tax.

Tool Entry price (USD) Line items Ledgers Best for
Hubdoc$12 a month, or included in XeroNoXero, QuickBooks OnlineHeader-only bills on Xero

One caution on the Dext row: the business price above is the 250-document tier shown on the Dext US pricing page, and larger tiers are priced on a slider. The practice figure is the Essentials price for the 10-client minimum on an annual plan; the full per-client ladder is on our Dext pricing page.

What is the best alternative to Hubdoc?

The best alternative to Hubdoc depends on why you are leaving. If you need direct publishing into Xero or QuickBooks for many client companies, Dext or AutoEntry is the closer replacement. If you need every line item from long supplier bills, at a predictable price, a page-priced extractor such as InvoiceExtractor costs less at volume. Datamolino sits between them for small firms.

Most firms do not replace Hubdoc everywhere. They keep it for clients whose bills post to one account, because it is free inside Xero, and move only the clients whose bills need splitting or costing line by line.

What a 300-bill month costs on each Hubdoc alternative

Here is one business that receives 300 one-page supplier bills a month, each with about 8 lines that need coding. That is 2,400 lines Hubdoc would leave for someone to type.

Tool How the 300 bills are priced Monthly cost
Hubdoc in XeroIncluded in Growing; lines typed by hand$59 Xero plan, plus 2,400 lines of data entry
AutoEntry300 bills at 2 credits is 600 credits, above Platinum's 500$298 (Diamond)
Dext businessA plan above the 250-document tier, plus 295 line item documents at $0.50Plan price plus about $147.50
DatamolinoBuild with line items covers 250, plus 50 extra bills at $0.38$114
InvoiceExtractor300 pages on Starter, lines included$49, or $24 billed yearly

The InvoiceExtractor figure uses the Base AI model, which covers 2,500 pages a month on Starter. The Pro AI model, for poor scans and handwriting, covers 500 pages on Starter, still enough for this month. Neither publishes into Xero for you: you import a file. That step is the price of the difference, and it is why the publishing tools cost more.

Is Dext better than Hubdoc?

Dext does more than Hubdoc: line item extraction, supplier statement reconciliation, approvals and practice dashboards. It also costs more and charges for line items beyond a small monthly allowance. For a Xero business with simple bills, Hubdoc is the better value. For a practice that needs lines and workflow, Dext is the stronger platform. Our Dext vs Hubdoc pricing comparison works through both rate cards.

Is AutoEntry better than Hubdoc?

AutoEntry is better than Hubdoc when you need line items or bank statement extraction, and worse when you just want free capture inside Xero. AutoEntry is never free: plans start at $13 a month for 50 credits, a bill with lines uses 2 credits, and a bank statement page uses 3. See the full ladder on our AutoEntry pricing page.

Is there a Hubdoc alternative for QuickBooks Desktop?

Yes. Hubdoc only connects to QuickBooks Online, so Desktop users need a tool that writes a file Desktop can import. InvoiceExtractor reads each bill with its line items and exports an IIF file for QuickBooks Desktop, so bills arrive with vendor, date, account and every line already filled in. The steps are on our page about how to import invoices into QuickBooks Desktop.

Bank statements are a separate job from bills. If the same client needs a year of statements posted to the books, it is quicker to convert the bank statement to a QuickBooks file than to key it from the PDF.

Where Hubdoc is still the right answer

Hubdoc remains the right tool when every bill posts to a single expense account and the main need is the source document attached to the transaction in Xero. It is free inside Xero, has a mobile app, takes email forwarding and costs $12 a month standalone with unlimited documents. None of the alternatives beats that price for header-only work, and switching a simple client away from it saves nothing.

Receipts follow the same rule. A client who mostly snaps fuel and meal receipts does not need line items at all; a dedicated tool to scan receipts into expense data or Hubdoc's own app is enough.

How InvoiceExtractor works as a Hubdoc alternative

InvoiceExtractor reads a vendor bill, PDF or scan, and returns the header and every line as Excel, CSV, JSON, a Xero bill import or a QuickBooks import file. Plans are priced by pages: Starter is $49 a month, or $24 billed yearly, for 2,500 Base AI pages, and Plus is $149 a month, or $74 billed yearly, for 10,000. Line items never cost extra. You can convert PDF invoices into a Xero bill import or extract invoice line items to a spreadsheet, and developers can call the invoice data extraction API.

What it does not do: publish into the ledger for you, run approvals, or give unlimited seats. If those matter more than the lines, choose Dext, AutoEntry or Datamolino. If the lines are the reason you are leaving Hubdoc, upload your longest supplier bill at the top of this page and compare the table with what Hubdoc gave you.

Frequently asked questions about Hubdoc alternatives

For direct publishing into Xero or QuickBooks across many clients, Dext or AutoEntry is the closest replacement. For every line item on long supplier bills at a flat price, InvoiceExtractor costs less at volume, from $49 a month or $24 billed yearly for 2,500 pages.

No. Hubdoc reads the supplier, date, total, invoice number and due date. Xero has said no further developments are planned on line item extraction, so bills that need splitting or job costing must be coded by hand after Hubdoc publishes them.

No. Hubdoc is still included in every US Xero plan, now listed as Smart Document Capture on Early, Growing and Established, and standalone Hubdoc is still $12 a month. What is not happening is new capability such as line item extraction.

Hubdoc costs $12 a month standalone after a 30-day trial, with unlimited documents. Inside Xero it costs nothing extra, but you pay for the Xero plan: $27, $59 or $97 a month at US list price, and Early allows only 5 bills a month.

Dext does more, including line items, supplier statements, approvals and practice dashboards, and it costs more. For simple Xero bookkeeping Hubdoc is better value; for practices that need line detail and workflow, Dext is the stronger platform.

Yes. Hubdoc connects only to QuickBooks Online. InvoiceExtractor exports an IIF file that QuickBooks Desktop imports, with the vendor, date, account and every line item already filled in.

At 300 one-page bills with lines a month, Datamolino costs about $114, AutoEntry $298 and InvoiceExtractor $49, or $24 billed yearly. Dext adds about $0.50 per line item document beyond its allowance on top of the plan.
