Short answer: Datamolino business plans cost $20, $35 or $65 a month for 100, 250 or 500 bills when you only capture header totals, and $45, $95 or $180 a month for the same allowances with line items. Extra bills cost $0.26 to $0.45 each. Accounting firms pay per document on practice plans with a monthly minimum of $45, $150 or $500, at $0.34 to $0.45 a bill with line items. Line item extraction more than doubles every business plan, and that is the number most buyers miss.
Datamolino is a bill and receipt capture tool for bookkeepers and small businesses that post to Xero, QuickBooks Online or FreeAgent. Its pricing page defaults to British pounds and only shows dollar prices once you switch the currency selector, so most write-ups quote the GBP figures. Everything below is the USD rate card as Datamolino publishes it, read in October 2026, with the per-bill math worked out for a US firm or business. How much does Datamolino cost?
Datamolino costs $20 to $180 a month for a single business and starts at a $45 monthly minimum for accounting practices, before VAT or sales tax. The business price depends on two choices: how many bills and receipts a month you need, and whether you want totals only or every line item. Every business plan includes unlimited users and invoice approvals at no extra charge, and there is a 14-day trial with no payment details.

Bank statement conversion is a separate meter at $0.80 a page on business plans. Optional automatic document splitting, for PDFs that hold several bills, is charged on top and the rate is not listed. Above 1,000 documents a month Datamolino quotes volume pricing through sales.
What do Datamolino practice plans cost?
Practice plans charge a monthly minimum that doubles as processing credit, then a per-document rate once the credit is used: Launch $45, Scale $150 and Expand $500. All three include unlimited client companies, unlimited users and approvals. Unused credit does not roll over to the next month.

The minimum works like a floor. A firm on Scale that processes 200 line item bills uses $86 of its $150 credit and still pays $150. The same firm at 600 line item bills pays $258, because 600 at $0.43 is past the credit.
Does Datamolino extract line items?
Yes, but only if you choose line item extraction, and it is priced as a separate, more expensive mode. On business plans it adds $25 a month to Start (125 percent more), $60 to Build (171 percent more) and $115 to Grow (177 percent more). On practice plans the per-bill rate rises from $0.24 to $0.43 on Scale and from $0.20 to $0.34 on Expand.
That premium is the real decision. If your bills post to one expense account each, totals only is enough and Datamolino is inexpensive. What Datamolino costs at real US volumes
Here is the cheapest Datamolino option for line item capture at four volumes, next to a flat extractor that includes every line. Datamolino counts documents; InvoiceExtractor counts pages, so a two-page bill uses two of its pages.

Two things stand out. At 200 bills a business is better off on Start paying overage ($45 plus 100 at $0.45) than on Build at $95, which the plan names do not suggest. And for any volume a single firm handles, the line item meter is what drives the bill, not the plan fee. Is Datamolino cheaper than Dext?
For line item capture at small business volumes, usually yes. Dext business plans start at $302.50 a year for 250 documents a month and include 5 line item documents, then charge $0.50 each or $20.50 a month per bundle of 50. At 200 line item bills a month that is roughly $107 to $123 on Dext against $90 on Datamolino. For totals only, Datamolino Build at $35 a month is in the same range as Dext's entry plan. Where Datamolino is the better buy
Datamolino is built around the bookkeeping workflow, and some of that is worth paying for:
- Unlimited users on every plan. A three-person team pays the same as one person.
- Approvals included, so a manager can sign off a bill before it reaches the ledger.
- Direct publishing to Xero, QuickBooks Online and FreeAgent, with supplier coding rules you save once.
- Collection by email, upload or mobile, and splitting of multi-document PDFs.

The math flips when line items are the point and volume climbs.
