How much does Acumatica AP Document Recognition cost?

AP Document Recognition is included at no extra charge in every Acumatica SaaS edition, and the included volume is fifty pages per month. Beyond that you must buy an Additional 5,000 pages per month or Additional 25,000 pages per month pack, and Acumatica publishes no price for either one. The April 2025 Acumatica Licensing Guide states it directly: "AP Document Recognition is only available in the US, UK, and Canada, in the English language. The service includes recognition of fifty (50) pages per month. If a customer requires more, they have the option to purchase additional pages."

Fifty pages a month is 600 pages a year. At the roughly 1.5 pages a typical US supplier invoice runs to once continuation pages are counted, that is about 400 vendor bills a year, or 33 a month. The feature is real, it reads line items, and it is genuinely free. It is also sized for evaluation rather than for running an accounts payable department.

What the included allowance actually buys

The meter counts pages, not documents, and Acumatica has confirmed in its own community that a vendor bill with printing on the front and the back consumes two of the fifty.

Put that next to the volume that makes AP automation worth doing at all. A department clearing 500 bills a month at 1.5 pages consumes 750 pages, fifteen times the entitlement, and would exhaust the whole annual allowance in under four days.

The allowance used to be twenty times larger

This is the part nobody mentions in the partner blog posts, and it is the single most useful fact on this page if you are comparing notes with someone who evaluated Acumatica a few years ago.

The 2021 guide reads "The service includes recognition of 1,000 pages per month with the option to purchase additional pages in packs of 5,000 and 25,000." The 2024 and 2025 guides read fifty. Acumatica confirmed the transition in its community: from 1 April 2023 all new and existing subscription customers received 50 free pages so they could try the feature, replacing an earlier promotional period that had offered up to 1,000 pages a month at no charge. Perpetual license holders were excluded from that entitlement.

There is a revealing asymmetry inside the same 2025 matrix. Advanced Expense Management, which reads employee expense receipts from a phone camera, still includes 1,000 transactions a month. Vendor invoices, the higher value document by a wide margin, get fifty. If receipt capture is the volume you actually need, that is a different service with its own allowance, and there are dedicated receipt capture tools that price it as its own workload rather than as an ERP module line.

What happens when you exceed the Acumatica AP Document Recognition page limit

You are blocked, not billed. AP Document Recognition is registered as a constraint on the Acumatica License Monitoring Console, and Acumatica staff have stated that because it is a constraint, customers are blocked when they exceed the maximum. There is no overage rate. Recognition stops working, the Incoming Documents screen will not process anything further, and your team goes back to keying vendor bills by hand until the calendar month resets or a pack is purchased and provisioned.

This is a materially different risk profile from a metered cloud API, where a busy month produces a larger bill rather than a stopped process. If your AP volume is seasonal, a hard constraint sitting on the critical path of month end is worth pricing as an operational risk and not just a license term.

Acumatica AP Document Recognition by edition

The feature matrix in the April 2025 guide marks AP Document Recognition as included in all four editions and both page packs as separately chargeable in all four. Buying a bigger edition does not raise the recognition allowance.

How AP bills also consume your Acumatica transaction tier

Recognition pages are not the only meter a vendor invoice touches. Acumatica licenses on Transaction Tier Consumption, where your Monthly Commercial Transaction Volume is the single highest count across eight transaction types: sales orders, shipments, AR invoices, customer payments, purchase orders, purchase receipts, AP bills and AP payments. Every recognized invoice that becomes a bill counts toward that ceiling too.

For most AP led buyers the tier is set by AR invoices or sales orders rather than by bills, so this rarely drives the price on its own. It matters when someone proposes routing a large one off backlog of historical invoices through the system, which can push a month into the next tier. Acumatica does cap renewal increases: the guide states that renewal prices will not rise by more than 10 percent a year, provided you do not reduce your edition, transaction tier or user count.

What the same invoice volume costs elsewhere

Because Acumatica does not publish pack pricing, the honest comparison is against options that do publish a rate, expressed in dollars per 1,000 pages. The figures below are published list rates from each vendor.

Two conclusions fall out of that table. If your volume genuinely fits inside 600 pages a year, the Acumatica feature is the right answer and nothing here beats free and native. Above that, you are choosing between an unpublished pack price with a hard block attached and a metered tool that never stops mid month, and you cannot make that choice without asking your partner for the pack figure in writing.

Does Acumatica AP Document Recognition capture line items?

Yes. The Incoming Documents screen maps header fields including vendor, invoice date, due date and vendor reference, and detail level fields including transaction description, quantity and unit cost. When a table is misread you can remap whole columns or rows, which matters on multi row distribution invoices, and those corrections train recognition for that vendor going forward. The finished document lands in Bills and Adjustments on hold, with the source PDF attached.

That places it well ahead of the header only capture in several accounting packages. QuickBooks Online receipt and bill capture, for instance, reads header fields and does not return line items at all, which is why a distribution business on QuickBooks usually ends up rekeying the rows regardless. On line item handling Acumatica is doing the harder job properly. The constraint is volume, not capability.

Where AP Document Recognition is not available

The service covers the US, the UK and Canada only, in English only. The UK was added between the April 2024 and April 2025 guides; before that it was US and Canada. Because recognition runs as a hosted Acumatica service rather than locally, on premise and self managed Azure instances need the discovery endpoint address configured and outbound access to it, and the feature has to be switched on under Enable or Disable Features as well as being present on your license. Partners have also reported at least one multi hour interruption, in April 2025, when the recognition service itself was unavailable while the rest of the ERP kept running.

If a meaningful share of your vendors invoice in another language, those documents fall outside the service entirely and need a separate path. The same is true of purchase orders, which are a different document class with their own matching workflow and are usually better handled by a tool built for purchase order data than squeezed through an invoice recognition queue.

Getting invoice data into Acumatica without the page cap

The practical pattern for teams above the allowance is to extract outside the ERP and import in. Run vendor bills through an extraction tool that returns header fields and line items, review anything low confidence, export to CSV or Excel in the column order Acumatica expects, and import the batch. You keep the recognition allowance for the handful of odd documents that genuinely benefit from being handled natively, and the bulk flows through a path with no monthly ceiling and no risk of stopping on the 20th.
