Intelligent Capture server licenses

Prices are per license, perpetual, before maintenance. PPY means pages processed per calendar year and is a capacity ceiling, not a consumption balance.

Note on the last row: the state contract cell for SKU 1000068919 is misaligned in the published PDF and repeats the value from the row above it. At the same 26.45 percent discount the figure would be $57,115.25, but that is our arithmetic, not OpenText published number.

Client seats, volume add-ons and options

The server license does not include the people using it. Every operator station is a separate license, and the capacity add-ons are sold in blocks above the base tier.

Non production servers for test, development and disaster recovery

This is the line item buyers most often leave out of a first budget, and it is not optional if you want a staging environment or a DR copy.

A non production Enterprise Server at $22,469 costs more than a production Standard Server bundle. If your volume genuinely fits the Standard tier, staying there saves money twice.

The per page SKUs: Capture Center and Invoice Capture Center for SAP

Alongside the server licenses, OpenText sells the Capture Center family on a per page per year basis. These are the SKUs that matter if you are pricing invoice capture rather than general document scanning, and they are priced in cents per page of annual capacity.

Invoice Capture Center for SAP Solutions is the most expensive per page product on the entire capture price list, at $1.01 per page of annual capacity. At 100,000 invoice pages a year that is $101,000 per year at list, or $74,000 at the state contract price. The cloud successor, Core Capture for SAP Solutions, is priced at $0.51 per transaction per year, roughly half. Neither number appears anywhere on OpenText marketing site.

Maintenance: the part that compounds

Maintenance on the price list is expressed as a formula rather than a number, and the formula differs between the two price columns. This is the single most consequential difference between buying at list and buying on a state contract.

The state contract starts higher, at 25 percent instead of 23 percent, and then never rises. At list, 23 percent grows by 10 percent compounding, so it passes 25 percent in year two and keeps going. Here is what that does to a single $10,798 license over five years.

Five years of support on that one license costs $15,162 at list, which is 40 percent more than the software itself. Nothing in the quote will tell you this; the uplift lives in the maintenance terms on the price list.

A worked five year total for a real AP department

Take an accounts payable team processing 100,000 invoice pages a year with three people handling scanning, verification and exceptions. That is the Standard Server Bundle with Advanced Recognition plus three attended clients, at OpenText list prices.

That figure excludes the implementation partner, the Windows servers it runs on, the scanners, the non production environment and any SAP or ERP connector. It is a floor, not an estimate.

OpenText Capture, Intelligent Capture, Captiva and Core Capture: which one are you buying

The naming has changed enough times that quotes, reviews and support documents rarely agree. Here is how the names map today.

OpenText own documentation confirms that licensing carried over unchanged from Captiva to Intelligent Capture, which is why the price list still contains SKUs with Captiva in the description alongside the newer Intelligent Capture entries.

Version lifecycle and when the extended support surcharge starts

Once a release enters sustaining maintenance, OpenText requires an extended support fee to keep receiving support, and for Intelligent Capture that fee is 50 percent of total renewal value. The date your release crosses that line is a budget event.

If you are running 21.4, the 50 percent surcharge starts in November 2026. If you are on 20.2 or any Captiva 16.x release, it already applies.

How OpenText capture pricing compares to per page alternatives

Comparing a perpetual capacity license to a per call API rate needs care, so the unit is stated in every row. The middle column is the cost of processing 100,000 invoice pages in one year, which is the only basis on which these products are genuinely comparable.

The gap is not a pricing error and it is not a fair fight in one direction only. OpenText Intelligent Capture is a production mailroom platform: it classifies mixed batches from scanners, routes exceptions through a verification client, runs on your own servers behind your own firewall, and has connectors into SAP and Documentum built over two decades. If your capture problem includes physical mail, checks, claim forms and a compliance regime that requires on premises processing, none of the cheap rows in that table replace it.

If your capture problem is vendor invoices arriving as PDFs and photos, and what you need at the end is clean rows in a spreadsheet or in QuickBooks, then a five year, $57,000 perpetual license with a compounding support line is a very large answer to a much smaller question.
