ReadSoft Alternative After End of Life, Replacement Options With Prices

Short answer: the closest ReadSoft alternative depends on where your invoices go. SAP and Oracle shops processing more than about 30,000 invoices a year are steered to Tungsten TotalAgility, smaller ERPs to Tungsten InvoiceAgility, and both are priced by quote. The cloud version of ReadSoft, now Tungsten AP Essentials, costs $0.57 an invoice with line items. Outside Tungsten, SAP Document AI, ABBYY FlexiCapture and flat-rate extraction tools cover most of what ReadSoft Invoices did, at very different prices.

Tungsten Automation partners report that standard support for on-premises ReadSoft ended on 31 December 2025. No more updates, no more fixes, and no vendor help when an ERP upgrade breaks the integration. If your AP team still runs it, you are carrying unsupported software in the one process auditors always look at. Below are the six realistic replacements, what each costs where a price is published, and a quick way to choose. What replaces ReadSoft?

Tungsten's own answer is TotalAgility or InvoiceAgility. Everything else is a change of vendor. This table puts the options side by side with the price basis you will actually be quoted on.

The dividing line is the matching and workflow layer. ReadSoft Invoices did capture, validation, PO matching and, with Process Director, approvals inside SAP. If you used all of that, you are replacing a platform and the Tungsten or SAP routes make sense. If you mainly used it to stop keying invoice data, you are replacing capture, and that is a far smaller purchase.

What is the successor to ReadSoft?

Tungsten names two successors. TotalAgility is its full intelligent document processing platform with workflow, reporting and native ERP integration, aimed at SAP and Oracle estates handling more than roughly 30,000 invoices a year. InvoiceAgility is a lighter cloud AP product for Microsoft environments and smaller ERPs below that volume. Partners position both as the path that keeps existing ERP integrations intact.

Neither has a public price list. Kofax, now Tungsten, publishes a price for very little of its catalog, which we cover on our Kofax pricing page. Expect a license or subscription quote plus partner services for configuration and testing, and ask for both numbers in writing before you compare them with anything else.

Can I just move to ReadSoft Online?

Yes, and it is the only Tungsten option with a published price. ReadSoft Online is still sold, renamed Tungsten AP Essentials, through a self-service store. Basic starts at $41 a month for 100 invoices with header and footer capture and XML output. Premium starts at $62 and adds line items, PO pairing and 2-way and 3-way matching. At scale Basic runs about $0.38 an invoice and Premium about $0.57, and invoices over your plan cost $0.56 and $1.12.

Two things catch former on-premises customers. The rate barely falls with volume, so 50,000 invoices a month cost almost the same per invoice as 1,000. And the overage on Premium is double the in-plan rate, so the plan has to be sized to your busiest month. The full table of all 23 volume steps is on our ReadSoft pricing page.

How much does it cost to replace ReadSoft?

For a US AP team at 2,000 invoices a month that needs line items, the published options range from about $149 to about $1,200 a month in software alone, before migration services. Here is the arithmetic, using each vendor's own rates and 1.4 pages per invoice as a typical average.

The ABBYY figure assumes you buy the band that covers your annual pages. At 33,600 pages a year you fit the smallest 50,000 page band, and the three-year minimum makes that a commitment of $11,220 before partner services, which is where ABBYY projects usually get expensive. Software is rarely the biggest number in a ReadSoft replacement. Partner days to rebuild vendor rules, validations and the ERP posting usually are, which is why the migration effort column in the first table matters as much as the price column.

You are replacing a platform, not a capture tool. Most of your invoices are matched to purchase orders

Matching is the feature to protect. AP Essentials Premium does 2-way and 3-way matching inside the capture tool. If you would rather run matching where the purchase orders live, a dedicated system that can match invoices against purchase orders and receipts lets the capture step stay simple and cheap.

You mainly used ReadSoft to stop keying invoices

Then the replacement is capture and export, not a platform. You need the vendor, invoice number, dates, totals, tax and every line item in a file your ledger imports, whether that is QuickBooks, Xero, NetSuite, Sage or a spreadsheet. You are unsure which group you are in

Pull last quarter's ReadSoft logs and count three things: invoices per month at the peak, the share matched to a PO, and how many invoices went through an approval workflow in ReadSoft rather than in your ERP. High numbers on the last two point to a platform. Low numbers point to capture.

What to check before you switch

• Export format. ReadSoft produced XML for your ERP. Confirm the replacement writes the format your import expects, or budget for the mapping.
• Line items. Several cheaper tiers capture header fields only. If you code by line, test line items on your ugliest multi-page invoices.
• Vendor rules. List the vendor-specific validations ReadSoft enforced. Each one is either rebuilt, replaced by the new tool's defaults, or dropped deliberately.
• Peak volume. Per-invoice plans with overage punish undersizing. Size to month end, not to the average.
• Parallel run. Run a month of invoices through the new tool alongside the old process before you retire anything. It is the cheapest insurance in the project.
