SAP VIM vs ABBYY FlexiCapture Pricing

Short answer: OpenText Vendor Invoice Management for SAP is licensed at $1.13 per invoice of annual capacity, plus $0.95 for the OCR option, on a public state contract price list dated 18 March 2026. ABBYY FlexiCapture is licensed by pages per year, and its published US price list puts 200,000 pages at $10,910 a year. For an AP department running 100,000 invoices a year, that is roughly $1.20 per invoice on VIM against $0.11 on FlexiCapture over three years. VIM costs about eleven times more, and it is buying something FlexiCapture does not sell.

These two get put on the same shortlist constantly, usually by an SAP shop that has been quoted VIM and wants to know whether there is a cheaper way to get invoice data into the system. It is a fair question with an uncomfortable answer, because the two products are priced in different units and solve overlapping but different problems. Here is the arithmetic, with every figure traceable to a published document.

Neither vendor publishes a price, and both prices are public anyway

Go to opentext.com or abbyy.com and you will find no pricing page for either product. Both route you to sales. What both companies do publish, quietly, are price lists filed against government purchasing contracts, and those documents contain SKU level list prices.

For OpenText, the current source is Washington State DES master contract 07814-002, whose Open Text Inc. price list is dated 18 March 2026 and runs to 34 pages of material numbers. For ABBYY, it is a US price list PDF that has circulated publicly since 2021 and remains the only itemized ABBYY rate card in the open. Neither is marketing material. Both are the numbers a buyer with a competitively bid contract actually pays.

The units are different, and that is the whole comparison

OpenText prices VIM per transaction per year. One vendor invoice is one transaction, regardless of how many pages it runs to. ABBYY prices FlexiCapture per page per year. A two page invoice with a continuation sheet costs the same on VIM and twice as much on FlexiCapture.

That means you cannot compare the headline numbers until you know your average pages per invoice. Most US AP departments land between 1.3 and 2.0 pages once utility bills and freight invoices with detail pages are in the mix. The tables below use 1.6, which is a reasonable middle. If your invoices are single page, FlexiCapture gets cheaper still. If you process a lot of multi page statements, the gap narrows.

What each vendor charges

Two structural details change the totals more than the headline rates do. OpenText maintenance is 23 percent of the license price in year one and rises 5 percent every renewal year, which the Washington contract states in a single line. ABBYY FlexiCapture carries a three year minimum term, so the smallest real commitment on the 50,000 page tier is $11,220, not $3,740.

Three years, side by side

Three years is the right window because it is ABBYY's minimum term and because it is long enough for OpenText's maintenance escalation to show up. Volumes are stated in invoices; the FlexiCapture column converts at 1.6 pages per invoice and buys the next tier up.

The VIM per invoice number does not move, because the license is linear: no tier, no volume break, the same $2.08 of license and $0.48 of first year maintenance per invoice at every volume on the contract. ABBYY's number falls as you climb tiers, from $74.80 per 1,000 pages at the 50,000 tier to $32.26 at a million.

Worth showing the VIM arithmetic in the open, because it is the part quotes tend to compress. At 100,000 invoices a year: license is 100,000 times $2.08, which is $208,000, paid once. Maintenance is $48,000 in year one, $50,400 in year two and $52,920 in year three. Three year total $359,320.

Why the expensive one is not automatically the wrong one

If this were a like for like comparison, nobody would buy VIM. It is not. FlexiCapture reads documents and hands you structured data. VIM reads documents and then runs your accounts payable process inside SAP: it creates a document processing object, performs duplicate checking, matches against the purchase order, drives approval through your existing organizational structure, handles the exception queues and posts to FI or MM without the invoice ever leaving the system.

Replacing VIM with FlexiCapture means you still need somewhere for the invoice to go, someone to approve it and something to post it. If that workflow already exists, or if your invoices are already routed and approved outside SAP, then the capture layer is genuinely all you are buying and the price gap is real. If it does not exist, the difference between $359,320 and $32,730 is the cost of building and owning an AP workflow, which is not free either.

Implementation is the line most business cases understate. On the same Washington contract, OpenText configuration services are $268.85 an hour and architect services are $290.91. A thousand configuration hours is $268,850, which at 100,000 invoices a year exceeds the entire first year of software. Teams weighing a five year platform commitment against a narrower fix often benefit from scoring their process and digital maturity honestly before signing, rather than after, and there are structured ways to score how ready the process actually is that cost a fraction of a discovery workshop.

How much does SAP VIM cost per invoice?

About $1.20 per invoice over three years, counting license and maintenance only, at any volume. That breaks down as $2.08 of perpetual license per invoice of annual capacity, spread over three years of use, plus 23 percent annual maintenance escalating 5 percent a year. Is ABBYY FlexiCapture cheaper than OpenText VIM?

Yes, by six to eleven times on software cost depending on volume, but the comparison only holds if you need capture alone. FlexiCapture prices pages, VIM prices invoices and the SAP workflow around them. On a straight per invoice basis at 100,000 invoices a year, three year software cost is $0.11 on FlexiCapture against $1.20 on VIM. Does ABBYY FlexiCapture integrate with SAP?

It has connectors, but the integration is a different shape. FlexiCapture sits outside SAP and pushes extracted data in; VIM is an ABAP add on that lives inside the SAP system. That distinction matters for approval workflow, for how exceptions are handled, and for what your SAP basis team has to support. What about ABBYY Vantage instead of FlexiCapture?

Vantage is ABBYY's newer platform and it is priced separately and higher: on the same US price list, Vantage Core starts at $8,000 for the 50,000 volume tier and $13,000 at 100,000, with the Invoice Skill priced exactly 25 percent above Core, and a three year minimum applies there too. ABBYY set 31 August 2026 as the decommissioning date for Vantage 2.7 in the Cloud, so anyone evaluating Vantage should confirm which release a quote is written against.

The third option most SAP shops never price

There is a middle path that neither vendor will put in front of you: license nothing, and buy only the extraction. If what your team actually needs is vendor, invoice number, dates, PO number, tax, totals and line items arriving as clean data, that costs $888 a year on an annual plan here, or roughly $1,000 a year on AWS Textract Analyze Expense or Azure AI Document Intelligence at 100,000 pages. No capacity license, no maintenance escalation, no three year minimum.
