Short answer: the best invoice scanning software for an AP team is the one that returns line items, not just the vendor and total, at a price that stays flat as volume grows. For 500 one-page invoices a month with line items, published prices run from $49 a month for a flat extraction tool like InvoiceExtractor, to $129 on Parseur, $159 on Docparser, $180 on Datamolino and roughly $220 on Nanonets. Hubdoc and the bill upload in QuickBooks Online cost less or nothing, but they read header fields only, so the line items are still typed by hand.
This comparison is written for finance teams that will run the software themselves, without a developer. That rules out raw cloud APIs, which are cheaper per page but return JSON that someone has to build a workflow around. If that is your situation, our comparison of OCR software for invoice processing prices AWS, Azure, Google and Mistral in the same unit. Here, every tool is something an AP clerk or bookkeeper can log into on day one, priced from the vendor's own published rates.
Best invoice scanning software, compared on cost per invoice
The scenario is the same for every row: 500 single-page vendor invoices a month, and you need line items (description, quantity, unit price, amount), because that is what PO matching and multi-account coding require.
| Tool | How it bills | Monthly cost at 500 invoices with line items | Reads line items | Best for |
|---|---|---|---|---|
| InvoiceExtractor Starter | Flat plan, 2,500 Base AI pages | $49 | Yes, included | AP teams and bookkeepers who want rows in Excel, CSV or JSON |
| Parseur Starter | Per page, 1,000 pages | $129 | Yes, after you set up the parser | Invoices arriving as email attachments |
| Docparser Business | Credits, 1,000 a month, 1 credit per document up to 5 pages | $159 | Yes, with a parsing rule per layout | Few vendors with fixed layouts |
| Datamolino Grow, line items | Per document plan, 500 documents | $180 | Yes, on the line item plan only | Bookkeepers exporting to Xero or QuickBooks Online |
| Nanonets Starter | Per block run, about $0.44 per invoice on a lean flow | About $220 | Yes | Teams that also want workflow blocks and ERP connectors |
| Dext business plan | Annual plan plus $0.50 per line item document after 5 | Plan plus about $205 to $248 for line items | Metered extra | Practices already standardized on Dext for receipts |
| Hubdoc | $12 a month, or included in Xero | $12 | No, header fields only | Filing bills against Xero with totals only |
| QuickBooks Online bill upload | Included in the subscription | $0 extra | No, vendor, date and total only | A handful of simple bills a month |
Prices are the published US list rates on each vendor's pricing page: Parseur's own price data for its plans, Docparser's $39, $74 and $159 monthly plans, Datamolino's USD card ($65 for 500 documents on totals, $180 with line items), Nanonets at $0.30 per extraction block, $0.10 per validation block and $0.02 per formatting or export block, and Dext's $0.50 per line item document or $20.50 for a bundle of 50. Annual billing lowers most of them by 20 to 50 percent, including ours, where Starter drops to $24 a month billed yearly.
Which invoice scanning software reads line items?
InvoiceExtractor, Parseur, Docparser, Datamolino on its line item plan, Nanonets and Dext on its metered add-on all return line items. Hubdoc does not, and Xero has said line item extraction for Hubdoc is not planned. The QuickBooks Online bill upload reads the vendor, date and total and leaves every line for you to type. This single feature decides most buying decisions, because a scanned bill without its lines still takes a clerk several minutes to enter. Our page on invoice line item extraction shows what complete line output looks like on a multi-page invoice.
Is template-based invoice scanning software still worth buying?
Only if you have few vendors whose layouts never change. Docparser and Parseur both work by building a parsing rule or template per document layout. With five suppliers that is an afternoon of setup. With 200 suppliers it is a standing job, because every new vendor and every redesigned invoice needs a new rule before its data comes through. AI-based tools such as InvoiceExtractor, Nanonets and Datamolino read layouts they have never seen, which is why the per-invoice price comparison above understates the gap for teams with a long vendor list. If you already run Nanonets and the per-block bill is the problem, our Nanonets alternative page prices the same invoice flow on a flat page plan.
What is the best invoice scanning software for QuickBooks?
For QuickBooks Online users who need line items, the practical choice is an extraction tool that exports a bill import file, because QuickBooks reads only header fields from an uploaded bill. QuickBooks Desktop has no built-in invoice OCR at all. InvoiceExtractor and Datamolino both export rows ready for QuickBooks Online import; Datamolino costs $180 a month at 500 documents with line items against $49 for InvoiceExtractor Starter. If you are setting this up for the first time, our walkthrough on how to scan invoices into QuickBooks covers both editions, and the guide to importing bills into QuickBooks Online covers the US plan limits on bill import.
How much should invoice scanning software cost per invoice?
For a team that runs the tool itself, expect 25 to 50 cents per invoice with line items on metered tools at 500 invoices a month, and well under 10 cents per invoice on flat plans used near capacity. InvoiceExtractor Starter works out to about 2 cents a page at 2,500 pages a month, and Plus to 1.5 cents at 10,000 pages for $149. Enterprise capture platforms are a different budget line: ABBYY FlexiCapture starts at $3,740 a year for 50,000 pages on a three-year minimum, and Rossum lists Starter from $18,000 a year. Compare any of these with the fully loaded cost of manual entry, which APQC benchmarks put around $6 per invoice for a median AP team.
Which invoice scanning software fits which team?
A bookkeeper or CPA firm handling client bills is usually best served by a flat AI tool or by Datamolino if the practice already exports to Xero through it. An in-house AP team of two to five people with a few hundred to a few thousand invoices a month gets the lowest total cost from a flat plan that returns line items and exports to their ERP. A team that also wants approvals, payment runs and vendor onboarding is shopping for a different category, accounts payable automation software that also runs approvals and payment runs, where capture comes bundled and per-invoice pricing is higher. And a company scanning paper in volume at a mailroom should look at AP scanning software that works with the scanner they already own.
What to test before you buy
Run the same ten invoices through every tool on your shortlist: your longest multi-page invoice, a crooked scan, a phone photo, a credit memo and an invoice with freight and tax on separate lines. Check three things. Did every line come through with the right quantity and amount? Do the lines add up to the printed total? And does the export open in your accounting system's import without editing columns? You can do that here with the uploader at the top of this page, then repeat it on the trials the other vendors offer. The tool that passes on your own worst invoices is the right answer, whatever the comparison tables say.
